In the Adoption Tool, when setting up a new cadence, you can tick this box to enable email communications. This means that automated emails will be sent out to all facilities included in your cadence-list. Read this article to understand which emails are sent out with what frequency.
When this is enabled, the platform will send scheduled emails to facilities to remind them of key milestones and support them in their progress. These notifications are tailored to the status of the facility's progress on the assessment, or account-status.
- If the facility does not yet have an account on the Worldly platform, and an email address from the facility was added to the upload-list, then the facility receives a notification email to register on the Worldly platform once the cadence has been created.
- If the facility has been added to the cadence but does not yet have the assessment, they receive a recurring reminder email every 14 days with instructions and a quick link to purchase.
- If the facility has not yet started the assessment, the system sends one email at 5 days, one email at 10 days, and then a recurring email every 14 days to remind them to start and offer assistance.
- Starting at 3 weeks from the self-assessment and verification due dates that are set within the cadence settings, the system begins to send reminder emails. It sends one at 21 days, one at 14 days, and one at 7 days from the due date.
Can the automated emails be customized?
No, these platform emails cannot be customized. But automated emails contain fields that are dynamically filled according to the cadence details, some of which are available to customize at the cadence level. Such dynamically-populated fields include module type (i.e. Higg FEM 2019), cadence end date, and Worldly account names.
Any time-based emails that contain completion deadline information, will pull the end date that has been set for the cadence. For example, if you had set up a custom cadence with an end date of March 31, 2021, this date will appear as the deadline in all automated communications for this cadence.
What do “time-based emails” refer to?
Time-based emails are communications that are triggered at key moments in the adoption cycle to help users advance in their journey. An example of a time-based trigger is elapsed time (i.e. 5 days from purchase date, or 14 days away from cadence end date).

If my facilities are in other cadences, will they receive emails from them as well?
Yes, facilities will receive one set of automated emails per cadence. The email content will reflect the account whose cadence the facility is in and the associated deadlines. You can turn off automated emails at any time by clicking the checkbox under cadence settings.
When do facilities with “No Account” receive an email notification?
Records categorized as ‘No Account’ will receive an automated email inviting them to create an account on the Worldly platform, IF an email address has been entered in the file upload and IF the automated email communication option has been enabled when setting up the cadence. For default cadences, the automated email communication is by default enabled.
Unless the ‘automated email communication’ option has been disabled when setting up the cadence, all valid email addresses in the list upload that are tracked as ‘No Account’, will receive an automated email with an invite to create a Worldly account.
